Full Job Description
₋ Write monthly thank you messages to customers who recently joined and obtain feedback on their experience
₋ Handle refund requests and provide summary and recommendation to management on case-by-case basis
₋ Handle clients’ complaints in a professional manner and as per the company policy and guidelines
₋ Discuss members feedback, comments, and complaints with management on a timely manner and respond to clients as per management request and guidelines
₋ Conduct calls with all members ensuring that each member is contacted at least once every three months to collect feedback on their experience. Provide monthly reports to management on members feedback and recommendations
₋ Coordinate members initial PT sessions with PTM when required
₋ Act as the Club’s point of contact with existing and potential members and provide information on the Club’s facilities, branches, membership packages, PT, and other services, events and policies, and procedures
₋ Provide response to all inquiries within maximum 48 hours of inquiry initiation date
₋ Maintain club’s member birthday boards, in cooperation with Reception team.
₋ Communicate approved membership decisions to the reception team and ensure efficient and smooth enrolment process
₋ Develop and ensure that established procedures for processing members’ applications and leads are consistently followed
₋ Ensures that payment and collection of all sales including but not limited to membership, fees, PT fees, stock items and other products and sales are accurate and collected on a timely manner and as per the company collection policy
₋ Responsible to train the reception team on all new programs, services, packages and/or events and ensure that accurate and full information is communicated to customers
₋ Ensure proper execution of Reception SOPs including conducting weekly role playing and training on customer service to reinforce and acknowledge good behaviour, and correct mistakes
₋ Constantly monitor reception replies, responses and interaction with clients and correct any mistakes that do not comply with company guidelines
₋ Regularly Update the Reception SOPs manual with new procedures obtained or approved by management
₋ Manage the receptionist timetable and ensure all reception staff comply with their scheduled shift hours.
₋ Assign daily, weekly, and monthly tasks and responsibilities to the reception team.
₋ Conduct performance reviews of the reception team and provide recommendations to the GM and HR.
₋ Conduct initial interviews of candidates for reception positions and provide feedback to GM, and HR.
₋ Follow up on maintenance and repair requirements reported or communicated to the reception team and ensure that information is communicated clearly and in a timely manner to the Gym Manager or Head of Maintenance
