Full Job Description

Job Summary:

University Housing is now hiring! We are looking for a Financial Specialist II to coordinate food and supply purchase orders and maintain good vendor relations.

As the primary contact between Dining & Culinary Services and our food service vendors, this position will place and review orders, resolve questions and issues, partner with dining units across the UW-Madison campus, and maintain financial and purchasing records data.

Hourly wage starts at $21.00 or higher and will be set based on qualifications. This is a full-time position with 5+ weeks of combined paid leave time each year and a competitive insurance and benefits package. Apply today!

Responsibilities:

Primarily reviews, approves, and advises on a variety of advanced financial transactions. May prepare some financial transactions and reconciles transactions. Recommends controls and process improvements, troubleshoots advanced financial errors. Maintains financial records, provides administrative processing support, and provides customer service for staff and customers in an assigned program area to support program financial management.

  • 20% Audits, monitors, organizes, and updates fiscal records, reports, and affiliated materials
  • 15% Creates general reporting for transactions
  • 20% Audits or processes advanced transactions and assigns funding codes in accordance with established rules, regulations, and policies
  • 10% Audits or reconciles original purchase documents with payments
  • 5% Reallocates expenses to appropriate funding strings
  • 20% Drafts communications and advanced reports and maintains organization of varied records to provide administrative support within a specified work unit
  • 5% Answers advanced fiscal questions and provides information based on set materials and standards to various audiences
  • 5% Reviews transaction processing internal controls and recommends policies and procedures
Tasks:
  • Acts as a liaison and primary contact between dining units and vendors
  • Coordinates purchases of special items as requested
  • Demonstrates and role models exceptional customer service
  • Resolves questions and issues with vendor invoices
  • Evaluates vendor product shorts and finds replacement products as needed
  • Maintains the purchasing data within Dining’s Menu Management System for all food and supplies purchased
  • Performs duties in a high-volume, dynamic, student residential dining environment
  • Provides support and assists as needed in the implementation of plans and procedures in the event of an emergency

  • 3 years of purchasing experience in food service or a related field; OR an equivalent combination of education, training, and experience.

Preferred Qualifications:

  • Experience acting as a liaison between an organization and vendors
  • Strong interpersonal, verbal and written communication skills
  • Experience using or maintaining a large database
  • Experience using software applications such as Microsoft Word and Excel and an ability/willingness to learn others
Work Schedule:

Primary schedule for this position is 7:30am – 4:00pm, Monday through Friday. Schedule will be determined upon hire.

Schedule alterations as operations and position expectations demand.

Full Time: 100%

It is anticipated this position requires work be performed in-person, onsite, at a designated campus work location.
